Data Director

Showing Up for Racial Justice (SURJ) | Remote | Permanent

Position Summary

Position Title: Data Director

Reports to: Managing Director

Employment Status: Full Time

FLSA:  Exempt

Showing Up for Racial Justice (SURJ) organizes majority-white communities across the country to work for racial and economic justice. Our work encompasses: supporting a network of 200 chapters across the US and Canada; growing and mobilizing a national membership body for individual members; running place-based organizing projects in Tennessee, Ohio, Kentucky, and Georgia; running electoral work for local, state, and national races in strategic locations; and working alongside POC-led partner organizations in the broader social justice movement ecosystem.

We ground our organizing in a framework of shared interest and have an inclusive, open-hearted approach to organizing- calling people into this work rather than creating barriers to participation- while maintaining a clear political line. We believe that together- as part of a powerful multi-racial, cross-class movement for collective liberation- we can force the systems of white supremacy and racialized capitalism to crumble.

Position Summary:

The Data Director is responsible for the strategic cohesion and day-to-day functioning of all of SURJ’s data systems including VAN, EveryAction, and Civis. They are responsible for strong coordination and communication related to data use across the organization, supporting data staff, and ensuring the integrity and security of the organization’s data and data systems.

As this is a new position, the Data Director will conduct an assessment of SURJ’s current use of data and data systems and identify any strategies, tools, integrations, and/or automations needed to elevate SURJ’s efficiency, sophistication, and impact. The Data Director will also work with the Managing Director, Assistant Director, Political Director, National Network Director and others to design and actualize a cohesive three-year data plan that supports the organization’s goals, and the Data Director will help design and manage the set of tools, systems, people, and processes required to put that plan into action.

SURJ does not have a “Data Department” at present, but there are several staff members from different teams/departments who work with data as part of their positions. The Data Director currently acts as a peer advisor to SURJ Directors and coordinates data staff in developing, planning, and executing SURJ’s strategic use of data to support our work, including community organizing and political campaigns on the local, state, and national levels (using VAN and EveryAction), donor management (using EveryAction), and SURJ’s National Chapter Network (using EveryAction child committees). It is likely that as SURJ grows, new data positions, and possibly some of the existing data staff, will come under the direct supervision of the Data Director.

Principal Responsibilities:

Data Strategy

  • Understand and support the flow of each type of data that SURJ gathers (fundraising, community organizing, list-building, and electoral organizing).
  • Think strategically about how data pieces across the organization that are currently segmented can instead be integrated and inform each other.
  • Collaborate as a member of the larger organizational security team, with a particular focus on data security. Participate in internal security policy development and implementation.
  • Meet regularly with each staff team to assess data needs and strategize around data questions including but not limited to report generation, presentation, and tracking.
  • Act as a strategic partner to SURJ directors and data staff regarding use of VAN data for campaign planning and field organizing.
  • Help to develop Data Sharing policies for SURJ.
  • Help to strategize around, design, and manage or support data-related projects in collaboration with other data staff and/or organization’s leadership.
  • Manage the Data budget.
  • Make assessments and recommendations about additional data strategies, tools, integrations, and automations to elevate SURJ’s efficiency and sophistication, and bottom-line any adoption of new data systems.
  • Sign off on new data systems requests from other directors and data staff, and identify opportunities for cost analysis and control.
  • Analyze SURJ’s data and produce actionable reporting that informs the organization’s work.
  • Help to design and actualize a cohesive three-year data plan that supports the organization’s goals. Help design the set of tools, systems, people, and processes required to put that plan into action.

Data Staff Cohesion and Coordination

  • Understand the various ways that staff across the organization are collecting, using, and analyzing data and make recommendations for greater systematization and alignment.
  • Coordinate all data staff across the organization, including the Development Database Manager, the National Phonebank Director, the Ohio Data & Operations Coordinator, and others, via monthly data huddles as well as regular 1:1 check-ins.
  • Assess data systems for opportunities to strengthen and streamline practices, and coordinate other data staff to implement changes.
  • Ensure that data and data systems are being used in the same way across the organization.
  • Support data staff in skilling-up their technical and analytical engagement with EveryAction, VAN, and other data systems.
  • Support the development data staff in skilling-up their technical and analytical engagement with donor data tools via EveryAction.
  • Help design, hire for, and train new data roles and positions as needed.
  • If/when directly supervising staff, execute all responsibilities related to supervision at SURJ including staff reviews, work plans, and check-ins.

Data Management and Integrity

  • Manage SURJ’s primary backend platform, Civis, and strategically utilize its integration and automation capabilities.
  • Understand and monitor the organization’s workflows in the Civis platform; prioritize requests for new workflows; work in collaboration with The Movement Cooperative to write queries and code for those jobs.
  • Manage and supervise the utilization of the organization’s primary CRM, EveryAction.
  • Assess the current state of EveryAction and create a plan to address any areas of disorganization remaining from the migration from our previous system; generally “clean up” the system and put any needed processes into place to keep it clean and organized.
  • Act as the primary administrator for the primary EveryAction “parent” committee.
  • Support the communications and distributed teams with technical needs related to emails and online actions.
  • Support Chapter Network Organizer in their temporary role supporting SURJ Chapters’ use of EveryAction via child committees.
  • Ensure the integrity of SURJ’s supporter list, by overseeing regular deduplication and cleaning processes.
  • Provide frontline data and data systems support for all programs that do not have a dedicated data staffer, via regular team check-in meetings and on an on-call basis.
  • Act as the organization’s primary point of contact with EveryAction.
    • Escalate tickets that we are not able to resolve internally to EveryAction.
    • Monitor and maintain the EveryAction-Civis pipeline.
  • Create and deliver hands-on trainings in EveryAction and other data systems as needed, and deliver these trainings to cohorts including program staff, whole staff, and new staff who are onboarding.
  • Provide support to other data staff on any requests they are unable to resolve on their own.
  • Be familiar with the day-to-day work of all data staff across the organization, and fill in  when any of those staff are out of office.

Work with External Data Partners

  • Act as the organization’s primary point of contact with technology vendors on the level of contracts, licensing, and technical support.
  • As needed, support other staff in relating directly to external partners on data-related topics (like America Votes and State Voices tables) or data tools (such as text and phone banking programs).
  • Act as the organization’s primary point of contact with The Movement Cooperative (TMC) and our Data and Technology Strategist at TMC. Understand TMC’s tools and research offerings, make recommendations about how SURJ takes advantage of them, and implement the tools we decide to sign up for.

Other Responsibilities

  • Understand and be technically fluent in all technology systems used by the organization including Google Workspace, Zoom, Slack, LastPass.

Rev. 10/2022
